Privacy Policy

RaceFlow (“RaceFlow”, “we”, “us”) operates raceflow.pro, a platform connecting race event organizers with runners in the Philippines. This policy explains what personal data we collect, why, and how it is handled, in line with the Data Privacy Act of 2012 (Republic Act No. 10173).

When you create an account or register for an event, we collect:

• Name, email address, and phone number
• Date of birth and gender (used for race category eligibility)
• Emergency contact details (used only for race-day safety)
• Shirt/singlet size and other registration preferences
• Payment confirmation details from our payment processor (we do not store your card, GCash, or Maya credentials)

We use your data to:

• Process your event registration and confirm payment
• Generate your race bib, ticket, and check-in record
• Send transactional emails (confirmation, receipts, event updates)
• Let event organizers manage participants for events you register for
• Improve platform reliability and detect fraud or abuse

We do not sell your personal data to third parties.

We share data only with service providers who process it on our behalf, under contract, strictly to operate the platform:

• Clerk — authentication and account management
• PayMongo — payment processing (GCash, Maya, GrabPay, cards, QRPH)
• Resend — transactional email delivery
• UploadThing / Cloudflare R2 — file and image storage
• Neon — database hosting
• Sentry — error monitoring (technical logs only, not registration data)

The event organizer you register with can see the registration details you submit for their event — this is necessary for them to run the event and contact you if needed.

We retain registration records for as long as your account is active and for a reasonable period afterward for accounting, dispute, and legal-compliance purposes. You can request deletion at any time (see Section 7).

We use essential cookies for authentication (via Clerk) and session management. We do not use third-party advertising or tracking cookies.

Under the Data Privacy Act of 2012, you have the right to:

• Be informed of how your data is processed
• Access a copy of your personal data
• Correct inaccurate data
• Object to or withdraw consent for processing
• Request erasure of your data, subject to legal retention requirements
• File a complaint with the National Privacy Commission (privacy.gov.ph)

To exercise any of these rights, email support@raceflow.pro. We aim to respond within 7 business days.

We may update this policy as the platform evolves. Material changes will be reflected by updating the “Last updated” date above.
